Why connect HubSpot to Sonik.ai?
If your company already uses HubSpot as its CRM, connecting it to Sonik.ai is one of the most important setup steps.
The integration sits at the center of the Sonik.ai workflow.
Once connected, Sonik.ai can:
display your existing HubSpot lead lists directly inside the platform
enrich leads with professional phone numbers and additional data
allow your team to call leads directly using the Parallel Dialer
synchronize call activity back into HubSpot
push notes, tasks, and call outcomes automatically into the CRM
The result is a fully connected outbound workflow where your SDRs and sales teams can prospect faster without losing CRM visibility.
What does the integration actually do?
The integration works in both directions.
From HubSpot → Sonik.ai
Sonik.ai reads your HubSpot lead data so your team can work directly from your CRM lists.
This includes:
contacts
companies
lead lists
selected CRM fields
custom properties
Sonik.ai then enriches these leads with additional outbound-ready information such as verified phone numbers.
Your team can immediately start calling leads through the Sonik.ai Dialer without exporting CSV files or manually rebuilding lists.
Prerequisites
Before connecting the integration, make sure:
you are an administrator inside your Sonik.ai workspace
you are also an administrator of your HubSpot workspace
you have permission to approve third-party integrations inside HubSpot
Without HubSpot admin permissions, the connection cannot be completed.
From Sonik.ai → HubSpot
Every outbound activity performed inside Sonik.ai can automatically be synchronized back into HubSpot.
This includes:
call logs
notes
tasks
call outcomes
conversation recordings
conversation transcripts
This synchronization ensures your CRM always stays updated, even if your team works operationally inside Sonik.ai.
Your sales managers, account executives, and RevOps teams keep full visibility inside HubSpot.
What Sonik.ai does not do inside your CRM
Sonik.ai is designed to remain lightweight and safe for CRM operations.
The integration does not:
modify your CRM structure
delete records
overwrite your workflows
change pipelines automatically
create unwanted automation

Inside Sonik.ai:
Open the left-side menu

Step 2 — Connect HubSpot
Inside the Integrations page:
Click Connect HubSpot

To access these settings:
Go to Admin
Go to the Dialer tab
Customize the fields displayed to SDRs
You can decide exactly which CRM information appears on lead cards during calls.
This includes either standard or custom HubSpot properties.
This allows SDRs to see the most relevant and personalized context before and during conversations.
Map Call Outcomes
Many teams already use their own call outcome taxonomy inside HubSpot.
Sonik.ai allows you to map Sonik.ai call outcomes to your own HubSpot call outcomes.
This keeps reporting clean and aligned with your existing sales processes.
Choose which calls are synchronized to HubSpot
You can control if calls you want only your connected calls to be pushed back into your CRM.
Organize Sonik.ai Leads Inside HubSpot with Dynamic Segments (Lists)
Once the HubSpot integration is connected and configured, the next critical step is organizing your Sonik.ai leads inside your CRM.
Without proper segmentation, warm leads generated by Sonik.ai can quickly become difficult to identify, prioritize, and operationalize inside HubSpot.
The recommended approach is to create dynamic HubSpot segments (lists) that automatically group leads based on the Sonik.ai signal that generated them or the Smart Agent that detected them.
This creates a clean outbound workflow where every new warm lead is automatically routed into the correct CRM segment and therefore ready to be called with the Sonik.ai Sales Dialer
Which HubSpot lists should you create?
The recommended setup is to create one dynamic list per Sonik.ai signal.
For most teams, this means creating at least 4 contact segment :
Signal | Purpose |
Website Visits | Companies visiting your website |
Competitors | People interacting with competitor content on LinkedIn |
Influencers | People interacting with influencer content on LinkedIn |
Topics | People interacting with posts related to your keywords on LinkedIn |
When Sonik.ai creates or enriches a lead inside HubSpot, it automatically populates specific HubSpot properties.
One of the most important properties to create your dynamic Segments in HubSpot is "Sonik.ai Signals".
This property contains the signal responsible for generating the lead.
You can use this property directly inside HubSpot filters.
Create ONE active segment PER SIGNAL in HubSpot :
To know more about Refely Signals, please read one of the articles below :
Create a first active segment for Website Visits leads
Step 1 — Open Lists in HubSpot
Inside HubSpot:
Go to CRM
Open Segments (Lists)
Click Create List
Choose Contact-based list
Active lists are dynamic lists in HubSpot.
This is extremely important because the list will update automatically every time Sonik.ai generates a new matching lead.
Step 2 — Add the Sonik.ai filter
Inside the filter section:
Search for the property:
Sonik.ai Signals
Select the operator:
Contains any of
Select the value:
Website Visit
This means:
every contact generated through the Website Visits signal will automatically enter this list.
Step 3 — Name the list clearly
Recommended naming convention:
Sonik.ai — Website Visits
Sonik.ai — Competitors
Sonik.ai — Influencers
Sonik.ai — Topics
Repeat the process for every signal
You should then recreate the same logic for the other signals.
Examples:
Property | Operator | Value |
Sonik.ai Signals | Contains any of | Competitors |
Sonik.ai Signals | Contains any of | Influencers |
Sonik.ai Signals | Contains any of | Topics |
(see screenshots above)
At the end, you should have 4 automatically updating outbound segments.
Alternative approach: segment by Smart Agent
For more advanced outbound setups, segmenting by signal alone is often not precise enough.
In that case, you can segment directly by the originating Smart Agent.
This is especially useful if:
you run multiple ICPs
you separate campaigns by geography
you segment by industry
you use different personas
you have dedicated SDR teams
Use the “Sonik.ai Smart Agent” property
Sonik.ai also synchronizes the Smart Agent responsible for detecting the lead.
Inside HubSpot filters, search for:
Sonik.ai Smart Agent
You can then build highly granular segments such as:
Sonik.ai — US SaaS CTO Intent
Sonik.ai — French HR Decision Makers
Sonik.ai — Website Visits Enterprise Accounts
Sonik.ai — Competitor Interactions Logistics
This allows extremely precise operational routing.
Typical operational workflow
A common setup looks like this:
Sonik.ai detects a warm lead
The Smart Agent qualifies the lead
Sonik.ai pushes the contact into HubSpot
HubSpot automatically adds the lead to the correct dynamic list
SDRs work those lists directly in the Sonik.ai Sales Dialer
This creates a fully automated warm outbound pipeline.
💡 Recommended best practices
Keep list names standardized
Use a consistent naming structure.
Example:
Sonik.ai — Website Visits
Sonik.ai — Topics — HR SaaS
Sonik.ai — Influencers — Enterprise
Sonik.ai — Competitors — France
Consistency becomes critical once dozens of Smart Agents exist.
Avoid static lists
Always use:
Active Lists
Dynamic Filters
Static lists quickly become outdated and require manual maintenance.
Combine Sonik.ai filters with HubSpot filters
You can combine Sonik.ai signals with native HubSpot filters such as:
company size
lifecycle stage
country
industry
owner
deal stage
Example:
Website Visit + France + 200 employees+
This allows highly targeted outbound prioritization.
Summary
Connecting HubSpot to Sonik.ai allows your team to turn CRM lists into fully operational warm outbound pipelines.
Once the integration is configured, Sonik.ai can enrich leads, power outbound calling through the Dialer, and automatically synchronize notes, tasks, and call activities back into HubSpot.
By creating dynamic HubSpot lists based on Sonik.ai Signals and Smart Agents, you can automatically organize inbound warm leads by intent source, ICP, or campaign — making SDR execution, reporting, and lead routing significantly more scalable and efficient.
